Data Retention

SendForm.live automatically manages submission data storage based on your plan. Here's what you need to know about how long your data is kept.

Retention Periods

Free Plan

30 days

Submissions older than 30 days are automatically deleted

Pro Plan

1 year

Submissions are kept for 365 days

How It Works

Each submission is timestamped when it's received. The retention period is calculated from that timestamp:

  • A submission received on January 1st on a Free plan will be deleted on January 31st
  • The same submission on a Pro plan would be kept until December 31st

Automatic Cleanup

Our system runs a daily cleanup job at midnight UTC. Submissions that have exceeded their retention period are permanently deleted. This is automatic and requires no action from you.

What Gets Deleted

When a submission expires, all associated data is permanently removed:

  • The submission data (all field values)
  • Any metadata (timestamp, IP hash, etc.)

Forms Are Not Deleted

Your forms themselves don't have expiry dates. Only the submissions within them are subject to retention limits. An empty form with no submissions will persist until you manually delete it.

Plan Changes

Upgrading to Pro

When you upgrade, existing submissions immediately benefit from the longer retention period. Nothing is deleted at the moment of upgrade.

Downgrading from Pro

If you downgrade from Pro to Free, submissions older than 30 days will be deleted at the next cleanup cycle.

Exporting Your Data

Pro users can export submissions as CSV before they expire. We recommend setting up regular exports if you need to keep data longer than the retention period.

If you need to keep data longer than 1 year, consider:

  • Exporting to CSV regularly and storing locally
  • Using webhooks to send data to your own systems
  • Contacting us about enterprise retention options
